Email Guidelines, Examples and Tips

Tips for writing an email:

  • Write the person’s email address where it says To.
  • Write the title of your email where it says Subject.
  • Always greet the person you are emailing, at the top of your message.
  • When you are finished, sign your name at the end of the message. This is called a Signature.


Example emails – Includes Opening Sentence and Closing Sentence

Yellow text – Opening sentence of an email.
Green text – Closing sentence of an email.


Example 1 – An email to your teacher

When you don’t know the person’s name

Sometimes you don’t know who will be reading your email. Instead of saying “Dear…” or “Hi…”, you can say:

  • Good morning,
  • Good afternoon,
  • Good evening,
  • Hello,

Remember to keep it short! This is just a greeting, not part of the main message.


Different ways to politely finish an Email

Here are some examples of words you can use to finish an email:

  • With kind regards,
  • Sincerely,
  • With thanks,
  • Regards,
  • Thanks,
  • Thank you,

If you are emailing a friend or family member, you don’t need to write one of these phrases.

Conditional sentences can be confusing for English learners. You will learn more about them in level 3.

Examples of conditional sentences include:

  • If the sun is bright, then wear sunglasses.
  • If it snows, then make a snowman.
  • If it is windy, then fly a kite.
